### Overview

The dashboard gives a quick snapshot of your Knowledge Base: how many items you have and what needs attention right now.

### What you see

* **Progress header**: A short description of the page intent.
* **Entities card**: Shows the total number of entities in your workspace with a **View** button to open the full entities list.

* **Evidence panel**: Highlights the top expiring evidence items so you can act before they become outdated. Each row shows:
  * the file name and type
  * days remaining until expiration

# Concepts

Gain a basic understanding of Passionfruit to efficiently set up your workspace and fill your first questionnaire.

Passionfruit helps companies answer complex questionnaires at scale (sustainability, quality, compliance). These are the essential concepts you need to get started.

## Core concepts

* Questionnaire: complete in Excel, Word, or the web; progress and reviews are tracked.
* Evidence: your source documents and links used to substantiate answers.
* Answer Library: previously approved answers you can reuse.
* Entities: organisation records (suppliers, clients, locations) to anchor answers and evidence.
* Agent: AI that finds and drafts grounded, cited answers from your workspace.
* Where you use it: Home web app and Extensions (Office add‑ins and Browser). Everything stays in sync.

## Questionnaires

Questionnaires are the unit of work. Fill them where they live (Excel, Word, or a portal) using the add‑ins or the browser extension. All changes sync with Passionfruit so you can track progress, reviews, and approvals.

## Knowledge

Passionfruit centralizes your knowledge so answers are consistent, traceable, and reusable.

### Evidence

Documents that substantiate answers; tracked for freshness, approval, and version history.

### Entities

Organisation records with key attributes. Use them to attach answers and evidence to the right context.

### Answer Library

Approved answers ready to reuse. When a new question looks similar, Passionfruit suggests a library answer for review.

## Agent

The Answer Agent uses your Evidence, Entities, and Answer Library to propose cited, verifiable answers. It prioritises approved content and always shows where information comes from.

    2. Go to `Insert` → `Get Add-ins` (or `My Add-ins`)
    3. Search for "Passionfruit" and select `Add`
    4. The add-in appears in your ribbon and under `My Add-ins`

    ## For administrators

    Deploy Passionfruit to teams or your entire organization.

    1. Go to the [Microsoft 365 `Admin Center`](https://admin.microsoft.com)
    2. Navigate to `Settings` → `Integrated apps` → `Add apps`
    3. Search for "Passionfruit" and select the add-in
    4. Choose who gets it (users or groups) and whether it installs automatically
    5. Review and approve permissions, then `Deploy`
    6. Monitor deployment status and confirm the add-in appears for users

    ## Troubleshooting

        After a new release, you may need to refresh the add-in manifest to see the latest changes in Excel or Word. You can do this yourself; if you don't have the required permissions, ask your Microsoft 365 admin. Start by refreshing; only remove and re-add if the refresh doesn't show changes.

        1. Close all Office apps (Excel, Word, PowerPoint, Outlook)
        2. Reopen Excel/Word
        3. Go to `Home` in your top navigation. `My Add-ins` → `More Add-ins` → `Admin managed`, then click `Refresh` (top-right)
        4. If changes still don't appear, remove Passionfruit from `My Add-ins`, then add it back from `My Add-ins` or the store

# Organisation

Manage company-wide settings and collaborate efficiently with groups of users, all within the Passionfruit app.

#### Overview

Organisations are groups of users. Configure company-wide settings, manage members and roles, set up workspaces, and share resources so teams can collaborate effectively.

You can find Organisation settings by clicking your avatar in the top left, then choosing Settings, then Organisation.

In Organisation settings, you can invite and remove members and manage roles and permissions, create and manage shared workspaces, configure naming conventions and metadata, and set organisation-wide security and compliance preferences.

#### Single Sign-On (SSO) with Microsoft Entra ID

Enable Single Sign-On (SSO) for your organisation using Microsoft Entra ID (formerly Azure Active Directory) to provide a seamless and secure authentication experience for your team.

**Benefits:**

* **Unified authentication**: Users can sign in with their Microsoft credentials, including support for multi-factor authentication (MFA)
* **Enhanced security**: Leverage your existing Microsoft Entra ID security policies, including conditional access and two-factor authentication
* **Streamlined access**: Users are automatically authenticated when they access Passionfruit, reducing password fatigue
* **Centralized user management**: User provisioning and deprovisioning is managed through Microsoft Entra ID

Once configured, users can choose to sign in with their Microsoft account (using SSO) or continue using their Passionfruit password. SSO users benefit from your organisation's Microsoft Entra ID security policies, including multi-factor authentication requirements.

# Single Sign-On (SSO)

Enable SSO for your organisation to provide seamless and secure authentication

#### Overview

Single Sign-On (SSO) lets your team sign in to Passionfruit using the same login they already use for work—no need to remember another password. When enabled, users click "Sign in with Microsoft" (or your company's login provider) and they're automatically logged in.

This is a managed setup: you request access, and we work with your IT team to get everything configured.

#### What is SSO?

Instead of creating a separate Passionfruit password, SSO lets users sign in with their work account. When someone clicks "Sign in with Microsoft," they're redirected to your company's login page, enter their work credentials, and then come back to Passionfruit—already logged in.

This means your team uses the same login they use for email, Microsoft 365, and other work tools. All the security settings your IT team has configured (like requiring two-factor authentication) automatically apply to Passionfruit too.

#### Why use SSO?

* **One less password to remember**: Users sign in with their work account
* **Better security**: Your IT team's security rules (like two-factor authentication) automatically apply
* **Easier access**: No need to create or reset Passionfruit passwords
* **Simpler management**: When someone leaves your company, removing their access is handled through your existing systems

#### Providers

    Enable Single Sign-On (SSO) for your organisation using Microsoft Entra ID (formerly Azure Active Directory). This integration allows users to sign in to Passionfruit using their existing Microsoft credentials, eliminating the need for separate passwords.

    This integration is offered as a managed setup: you request access, and we configure everything with your IT team using Microsoft Entra ID.

    #### For administrators

    SSO setup requires coordination between your IT team and the Passionfruit team. As an IT manager, you'll need to configure settings in Microsoft Entra ID while the Passionfruit team provides the necessary configuration details and guides you through the process.

    **Your responsibilities:**

    1. **Register Passionfruit as an Enterprise Application** in Microsoft Entra ID
    2. **Set up user and group assignments** to control who can access Passionfruit via SSO
    3. **Test the integration** to verify everything works correctly

    **Prerequisites:**

    * Administrative access to the [Microsoft Entra admin center](https://entra.microsoft.com/)
    * Global Administrator or Application Administrator permissions in Microsoft Entra ID
    * A designated IT contact person to coordinate with the Passionfruit team

    **Setup Steps:**

    **Step 1: Register Passionfruit as an Enterprise Application**

    1. Sign in to the [Microsoft Entra admin center](https://entra.microsoft.com/)
    2. Navigate to **Identity** > **Applications** > **Enterprise applications**
    3. Click **New application** > **Create your own application**
    4. Enter a name for the application (e.g., "Passionfruit")
    5. Select **Integrate any other application you don't find in the gallery (Non-gallery)**
    6. Click **Create**

    When registering the application, configure the following settings:

    * **Name**: Enter "Passionfruit" as the display name
    * **Supported account types**: Select "Accounts in this organizational directory only (Single tenant)"
    * **Redirect URI**: The Passionfruit team will provide the redirect URI to configure

    **Step 1b: Share configuration values**

    After registering the application, collect the following values and share them with the Passionfruit team so we can complete the configuration:

    * **Tenant ID**: Go to **Overview** and copy the **Directory (tenant) ID**. We'll use this to create the OpenID Connect discovery URL for your organisation.
    * **Client ID**: Go to **Overview** and copy the **Application (client) ID**.
    * **Client Secret**: Go to **Certificates & secrets** → **New client secret** → enter a description and expiration date → click **Add** → copy the **Value** (this is shown only once; store it securely).

    **Step 2: Assign Users and Groups**

    1. Go to **Manage** > **Users and groups**
    2. Click **Add user/group**
    3. Select the users or groups who should have access to Passionfruit via SSO
    4. Click **Assign**

    **Step 3: Test the Integration**

    1. Use the **Test this application** option in Microsoft Entra ID to verify the SAML configuration
    2. Test with a sample user account to ensure:
       * Users can successfully sign in with their Microsoft credentials
       * Multi-factor authentication (if enabled) works correctly
       * User attributes are correctly passed to Passionfruit
       * Access control and permissions are working as expected

    **Step 4: Enable SSO**

    1. Once testing is complete, ensure SSO is enabled for the application
    2. Communicate the SSO status to your users
    3. Users can now sign in to Passionfruit using their Microsoft credentials

    <Info> The Passionfruit team will work closely with your IT team throughout this process. We'll provide all necessary configuration details and assist with testing.</Info>

    #### User Experience

    Once SSO is configured, users can authenticate using **either** SSO **or** password login, but not both:

    * **Sign in with Microsoft (SSO)**: Users can click "Sign in with Microsoft" and authenticate using their Microsoft Entra ID credentials. This option respects all your organisation's security policies, including MFA requirements.
    * **Sign in with password**: Users can continue using their Passionfruit password if SSO is not enabled for their account.

    <Warning> Users must choose one authentication method. Once SSO is enabled for a user, they will use SSO for authentication and cannot use password login. Similarly, users who continue using password login will not have access to SSO until it is enabled for their account.</Warning>

    SSO users benefit from your organisation's Microsoft Entra ID security policies, including:

    * Multi-factor authentication requirements
    * Conditional access rules
    * Password policies
    * Account lockout policies

# SharePoint

Integrate with your single source of truth

#### Overview

SharePoint is your starting point for integrating Passionfruit with where your documents already live. Connect your SharePoint and your policies, reports, certifications, and other documents are automatically pulled into your Knowledge Base. No downloading, re-uploading, or guessing whether you have the latest version.

Provide access to a folder in SharePoint, and we'll keep it in sync. Currently, the integration supports **PDF** and **Word (.docx)** files.

#### Managing integrations

Once the integration is set up, you can manage it from **Settings → Integrations**. Here you see which integrations are active, when they last synced, and whether there are any issues. You can also request new integrations from this page.

#### What is synced

* The files inside the SharePoint folder you point us to (PDFs and Word documents)
* Metadata used for discovery and compliance: title, type, size, creator, modified and created dates, and file path
* File content is processed for search and answer generation

#### Authentication and security

The SharePoint integration uses Microsoft Entra ID for authentication and access control.

* **Seamless SSO**: If your organisation has configured [Single Sign-On (SSO)](/docs/installation/sso), users access SharePoint evidence with the same credentials
* **Enterprise security**: Your existing Microsoft Entra ID policies apply, including multi-factor authentication and conditional access
* **Secure data access**: All SharePoint access is authenticated through Microsoft Entra ID, so only authorised users can import and view evidence

#### Adding a new company tenant

This section explains how to add a new company tenant to the existing SharePoint app registration and connect it to Passionfruit.

##### Step 1: Allow the tenant in the app registration

Restrict the multi-tenant app registration to specific Entra tenants by adding the new company.

1. Open **Azure Portal** and go to **Microsoft Entra ID**.

2. Go to **App registrations** and open the SharePoint integration app.

3. Open **Authentication (Preview)** → **Supported accounts**.

4. Click **Manage allowed tenants**.
5. In the dialog, add the new company tenant by **Tenant ID** or domain, then save.

6. Confirm the new tenant appears under **Allowed tenants**.

##### Step 2: Share details with Passionfruit

After your tenant is allowed on the app registration, send the Passionfruit team the information below so we can finish setup on our side. You do not need to run database scripts or call APIs. Those steps are handled internally.

| **Tenant ID**              | **Azure Portal** → **Microsoft Entra ID** → **Overview** → **Tenant ID** (also called **Directory (tenant) ID**).                        |

| **Folder or library path** | The path to the folder or library inside that site (for example `Shared Documents/Policies` or the library name your team uses).         |

If we already shared an **Application (client) ID** with you for this integration, include it when you write in so we can match your organisation to the correct app registration.

  Use one SharePoint connection per organisation in Passionfruit. If you change
  sites or need to replace an integration, coordinate with us first so we can
  update the configuration cleanly.

##### Step 3: We complete setup and sync

Passionfruit configures the integration, connects to your SharePoint scope, and runs the initial sync. We'll let you know when evidence from SharePoint is available in your Knowledge Base and when ongoing sync is active.
